Learning Education and Development Coordinator - Harrogate Veterinary Training Centre

Summary of the role:

The successful candidate will be part of the learning-education-development (LED) department.  This role will be within the LED Co-Ordinator team, who support to ensure the efficient delivery of the entire LED course portfolio for all job roles across the business. They will play a pivotal role in course organisation and course support of the learning portfolio for CVS. They will be a true team player with excellent organisation and communication skills, with the ability to multi-task different tasks and projects.  Alongside these responsibilities, they will also be involved with supporting the delivery of Continuing Professional Development (CPD) at our Harrogate training centre, acting as the direct point of contact for delegates and course tutors as well as managing the teaching facilities.

 

Please note: This role is Monday-Friday. Initially, you will be based at our Wetherby site however by September we are expecting our Harrogate site to be ready, where you will be based long term

 

Key Responsibilities and Tasks:

 Delivering Results

  • Support and organise face to face, clinical and non clinical courses, as well as online and virtual classroom courses. 
  • Support and organise training through 3rd party providers as advised by the LED Senior Leadership team.  
  • Support with external CPD booking requests made by learners across the business. 
  • Support with the implementation of learning agreements for external booked courses and certificates where this exceeds individual CPD allowance
  • Process credit card payments related to course bookings and external CPD requests as outlined above, completing monthly credit card return forms
  • Process invoices related to course bookings and external CPD requests as outlined above, as and when instructed by Senior Learning Partner or LED Senior Leadership Team
  • Process sponsorship payments for courses partly or fully sponsored by 3rd party providers
  • Process educator payments and associated expenses for courses delivered by trainers outside of LED team
  • Be present on site to ensure smooth running of courses delivered at Harrogate site. This will include but is not limited to: greeting learners into the building, ensuring learners are briefed on where to go for training, ensure catering and refreshments are provided, course setup as and when needed, supporting learners with any queries, act as the main contact for learners/trainer from LED and cleaning down and restoring of equipment
  • Monitor equipment at Harrogate site for courses including – reporting issues, reporting reordering to correct members of the LED team, manage equipment booking process for equipment and ship equipment to courses when applicable
  • Create and send course instructions, course registers, attendance certificates to learners and speakers as required
  • Support with the collection and process of course feedback
  • Communicate with internal and external stakeholders
  • Take in equipment being delivered to site, moving equipment, checking equipment in and making sure this is stored safely and correctly
  • Work with standard operating procedures to ensure work is completed as efficiently as possible and in a timely manner
  • Be willing to set up cadavers for clinical courses and manage process of setting up and cleaning down when applicable for courses
  • Support with promoting LED internal courses through different communication channels including: social media, internal newsletters and internal publications
  • Greet and liaise with speakers and learners arriving at site
  • Represent LED team and work closely with Harrogate Vets at site, supporting with any LED related issues with a ‘can-do' attitude
  • Continually strive to improve delivery of customer service
  • Continuously seek and act on feedback from CVS employees on LED activities

 

Key Skills Required:

  • Clinical background e.g. Patient Care Assistant or Registered Veterinary Nurse
  • Excellent communication and organisational skills
  • Ability to multi-task and manage different courses and projects
  • Ability to liaise with internal and external stakeholders
  • Ability to support with courses on site, helping with setup and equipment
  • Customer focused and willingness to deliver a great service
  • Ability to see projects through from identification of problem to solution
  • Able to work in a time efficient manner
  • Proactive approach and genuine desire to make the service the best it can possibly be
  • Basic computer skills excel, PowerPoint, word and willingness to learn new software
