Part-time Executive Assistant / PA - Business Operations

 

We are currently recruiting for an Executive Assistant/PA to join our Group Administration Team here at CVS on a part-time basis. 

 

At CVS Group we are one of the largest integrated veterinary groups in Europe with a turnover in excess of £400M and over 500 veterinary practice sites across the UK, Ireland and the Netherlands. Alongside veterinary practices, we also operate pet crematoria, laboratories, a distribution centre, an online business and buying groups

 

Within this role you will be responsible for the provision of Executive Assistant/PA support to designated members of the Executive Committee, interfacing with all areas of the business and external organisations.

 

Key duties and responsibilities to include:

  • First point of contact for the Executive Directors (“Directors”) on general matters
  • Proactively manage the Directors' diaries, to include meetings, travel, telephone calls and online meetings. In particular, organise the Directors' schedules well in advance, giving options to minimise travel and time out of the business, whilst taking into account other commitments and urgency, and ensuring all relevant needs are met
  • Organisation of meetings, venues, events, travel, accommodation and other logistics
  • Attend and minute Executive Committee meetings, and other meetings, as requested
  • Compilation and distribution of relevant meeting documents, including agenda, supporting documents and minutes
  • Preparation of correspondence on behalf of the Directors
  • Preparation, editing and distribution of reports, presentations and other documentation in line with the CVS branding and style
  • Administration of the complaints process for the Practice Division
  • Assist with on-boarding of new staff, and induction programmes, as required
  • Coordinate the production and dissemination of communications
  • Maintaining accurate and up-to-date information, as requested
  • Compilation and checking of credit card returns and expenses claims
  • Recording annual leave for the Directors and their direct reports, as required
  • Notifying the Group Administration Manager of the Directors' holidays and whereabouts, as required
  • Assist with general queries and requests into central email inboxes, taking ownership of tasks from start to finish, liaising with the requestor and keeping them informed
  • Provide support to the Group Administration Manager and others in the Group as appropriate, to help deliver the Group's clinical, commercial and operational targets
  • Ensure an excellent level of service to all internal and external customers
  • Raise points of action to the Group Administration Manager and other team members in a timely manner
  • Handle general queries and carry out other general activities, as requested

 

Skills and experience required:

  • Significant experience supporting senior directors in an executive assistant or PA capacity
  • Excellent written/verbal communication and interpersonal skills, including the ability to use positive language
  • Co-operative and solution-focussed, in addition to a strong customer and team focus
  • Demonstrated high level of organisation & time management skills, particularly in an environment with multiple, and sometimes conflicting, priorities
  • Ability to manage complex diaries with a focus on minimising travel and time out of the business, whilst taking into account clinical commitments and urgency, researching and delivering the best options
  • Experience of, and ability to take, accurate and concise minutes of executive level meetings
  • Excellent word processing skills (60+ wpm)
  • High level of skill in preparing creative, professional presentations and reports
  • High level of skill in using technology, including software such as Microsoft Office packages, internet and databases, and technology hardware, such as laptops, projectors, printers, phones, binding machines, etc.
  • Excellent numeric and literacy skills
  • Demonstrated ability to stay calm and work effectively under pressure
  • Demonstrated ability to work independently with minimal supervision
  • Demonstrated ability to handle information of a sensitive nature and maintain confidentiality at all times
  • High levels of energy and personal motivation to support others
  • Secretarial or Business Administration qualification or equivalent is preferred
  • Previous experience in veterinary healthcare or services-oriented environment would be advantageous
  • A Full UK Driving Licence and own vehicle are advantageous in this role due to occasional travel requirements

Hours of Work: 20 hours per week
