Operations Administration Assistant - North - Business Operations


We are currently recruiting for an Operations Administration Assistant - North to join our Group Administration Team here at CVS on full-time, remote-working basis. 


At CVS Group we are one of the largest integrated veterinary groups in Europe with a turnover in excess of £400M and over 500 veterinary practice sites across the UK, Ireland and the Netherlands. Alongside veterinary practices, we also operate pet crematoria, laboratories, a distribution centre, an online business and buying groups.


Within this role, you will be responsible for the provision of remote secretarial and administrative support, as well as interfacing with all areas of the business, external organisations and individuals, including customers and suppliers. 


Key duties and responsibilities include:

  • First point of contact for the Directors.
  • Proactively manage the Directors' diaries, to include meetings, travel and calls. In particular, organising the Directors' schedules well in advance giving options to minimise travel and time out of the business, whilst taking into account other commitments and urgency, and ensuring all relevant needs are met.
  • Organisation of meetings, venues, events, travel, accommodation and other logistics for the Directors.
  • Arranging, attending and taking minutes at meetings at the request of the Group Administration Manager and/or Directors.
  • Preparation of correspondence.
  • Preparation, editing and distribution of reports, presentations and other documentation in line with the CVS branding and style.
  • Point of contact for queries from Small Animal, Referral and Farm Animal practices.
  • Communication of corporate information to various parties.
  • Assisting with the complaints process ensuring deadlines are met.
  • Maintaining accurate and up-to-date information of practices on the company Site List and other databases.
  • Assisting with on-boarding, ensuring that all necessary forms are completed and equipment ordered.


Skills and experience required:

  • Previous experience supporting directors in a secretarial/PA capacity.
  • Previous experience in arranging and facilitating meetings and events. 
  • Excellent written/verbal communication and interpersonal skills, including the ability to use positive language.
  • Co-operative and solution-focussed, in addition to a strong customer and team focus.
  • Demonstrated high level of organisation, time management skills, multi-tasking and attention to detail.
  • Ability to arrange complex diaries with a focus on minimising travel and time out of the business.
  • Ability to take accurate and concise minutes of meetings.
  • Excellent word processing skills (60+ wpm).
  • High level of skill in using technology, including software such as Microsoft Office packages, internet and databases, and technology hardware, such as laptops, projectors, printers, phones, binding machines, etc.
  • Solid numeric and literacy skills.
  • Demonstrated ability to handle information of a sensitive nature and maintain confidentiality at all times.
  • Secretarial or Business Administration qualification or equivalent would be advantageous.
  • Previous experience in veterinary healthcare or services-oriented environment would be advantageous.
  • A Full UK Driving Licence and own vehicle are advantageous in this role due to travel requirements.


Location: This is a remote-working position for someone ideally located in the Midlands or North, with some occasional travel required.


In addition to a salary of £22,000 - £26,000 DOE, we offer a range of company benefits including:
